IEEE CIS Executive Committee Meeting

    1. Ed Cohee and Dan Allison:  attended the meeting. We appreciate the continuing member involvement.
    2. Treasurer's report:  section's account balance of $51,316.29 as of 9/30. Indian's game and picnic cost $1200 to subsidize for the 88 attendees. Awards banquet will most likely be subsidized based on estimated attendance.
    3. Secretary's report:  minutes for last month were distributed to Ex Comm members earlier, were approved and will be held till Friday for comments and then send to Bob for posting on web.
    4. Chair's report:  Region 4 Ex Comm meeting was in Chicago last weekend. IEEE is establishing on-line membership application for students. Students will be given "student membership rate" for eight years and a 50% discount over full member rates for some period following. The IEEE membership database, SAMI, has on-line training available. The data base can be accessed by Section Ex Comm members and society chairs. Encourage CIS Ex Comm/society chairs to take training and utilize database. CIS can join "IEEE Notice" to relieve Bob's burden when sending mass e-mails to our members. L-31 reports for the year will be due early in 2004 and can be done either on-line or hand written. Incentives are being used to get student branches to report. Technical meetings will also earn a higher rebate from IEEE. All region 4 sections reported at Ex Comm. Potential meeting changes for next year include tour of a transportation grid. and moving the Ex Comm meetings to different cities. All section reports will be posted on the region 4 website this next year. A report on EIT2003 was given to the Ex Comm with final financial results being a $3K profit. A DVD of the EIT2003 streaming video has been produced with the potential to have copies available for sale (based on demand).
    5. Vice-chair's report:  No report.
    6. Committee reports: 

      • Awards banquet:  (Alan is acting chairman) - scheduled for Nov 20 at the Ritz Charles (see website and mass e-mail for details). Dean Katehi from Purdue College of Engineering will be our keynote speaker (15 - 30 minute speech) at the banquet. Publicity is main issue at this point, get word out to members (mass e-mail, flyer and post card planned for this purpose). Marv will initiate communications at IUPUI. Plan for attendees to register on website and pay fees at the door (details on website). The award will be presented for "Member of the Year" (one nomination received for Alan Stillerman, no nominations were received for "Engineer of the Year"). We will also be recognizing any members who reach the "Senior Member" level during the year (eight total). Bob's daughter has agreed to play piano during the social time if Ritz Charles has a piano for her to use. Pictures are needed for activities displays (Indian's game, tours, etc.) Plan to present ceremonial checks for schlarships and Robotics ROBOLAB proposal at the banquet. Will meet next week to continue planning.
      • The Engineer's Week 2004 committee:  Ed Cohee is the chairman. Met last week and worked out a mission statement and budget. See attached minutes for that meeting.
      • Nominations committee :  has not received any candidate petitions to date. October 28th is the last day for petitions for nominees.
      • PACE update:  Al wants to arrange for Erica Steuterman, Director of the Executive MBA program at Purdue University, West Lafayette to come to Indianapolis to give a talk about the program that starts in January. Tentative date for the talk is December 4, Thursday at either 5:00 p.m. or 5:30 p.m.
    7. Computer Society:  Ross is trying to find someone to assume the chair of this society.
    8. Reporter report:  One issue out before banquet, electronic format. Post articles on CIS website and combine into an issue in Nov time frame. Water Company Tour report is requested from attendees.
    9. Senior members:  Information on a senior member rodeo has been offered by Bob Adams of Region 4. I'll try to get with Bob and find out the details. So far we have 5 new senior members for the year.
    10. Student chapters report:  Chapters at IUPUI, Purdue, Rose Hulman, and ITT Tech. Jason Sherey is student activities chair and liason with Rose Hulman student branch. Jose Ramos and Ken Reid serve as liason with IUPUI student branch. Purdue and ITT Tech liasons remain open. Nariman is presently enrolled at West Lafayette campus and will try to provide a conduit for communications. This may help establish a liason for the West Lafayette student branch.
    11. EIT 2003 Conference report:  no formal financial report, ~$3K profit so far, which goes back to Region 4. Formal presentation scheduled for Region 4 executive committee meeting.
    12. Website development:  plan to freshen up page, Reporter on line, create a member area, awards page & link already available, update left side choices and right side of home page and have a new look by banquet time.
    13. EMPHASIZE THAT EXECUTIVE COMMITTEE MEETINGS:  ARE OPEN TO EVERYONE AND TENATIVELY SCHEDULED FOR THE FOURTH WEDNESDAY OF THE MONTH AT 6 PM IN ET 209 ON IUPUI CAMPUS.
    14. Marv recognized:  Norbert, Alan and Bob for attending the Region 4 executive committee meeeting and keeping our section informed of activities. Next Region 4 Ex Comm meeting is scheduled for 1/31 - 2/1/2004.
    15. Old business:  no items.
    16. New business:  CIS has no literature to share with prospective members or info to provide new members. Consider options for creating promotional material for the Section.
    17. Next meeting:  (awards banquet) scheduled for Thursday Nov 20, Ritz Charles in Carmel at 6:30PM.
